Legal counsel reviewed the wording. By Sunday evening, the company had almost all the answers. Energy consumption was available in utility bills. Employee data was in HR records. Supplier contracts were in the archive. The data was not missing. Something else was missing: a reliable answer to the five questions behind every material response in the questionnaire. Five days is an example of one possible scenario, not a universal rule. Deadlines and questionnaires vary from buyer to buyer. Scope<br>What period, organisational unit and methodological framework does the data cover?<br>One location or the entire company? Calendar year or financial year? Approval<br>Who is authorised to confirm and use that data on behalf of the company?<br>Who had the authority to say: we are sending this to the buyer?<br>Behind every material response, whether expressed as a figure or a statement, there should be an answer to these five questions.<\/p><\/div>\n\n\n\n<div class=\"wp-block-stackable-text stk-block-text stk-block stk-5f5b154\" data-block-id=\"5f5b154\"><style>.stk-5f5b154 .stk-block-text__text{font-size:16px !important;color:#000000d1 !important;}@media screen and (max-width: 1023px){.stk-5f5b154 .stk-block-text__text{font-size:16px !important;}}<\/style><p class=\"stk-block-text__text has-text-color has-text-align-justify-mobile\">What Happens When No One Has the Complete Picture? In most companies, knowledge is distributed. Finance knows where the invoice comes from. Operations knows how consumption is measured. The person responsible for sustainability knows which methodology was used last year. The director remembers approving something similar. No single person has the entire chain. That is why the answer emerges as a compromise: someone estimates, someone fills in the gaps, someone softens the wording. The answer may be accurate. But the buyer receives a document that is not supported by a verifiable trail.<\/p><\/div>\n\n\n\n<div class=\"wp-block-stackable-text stk-block-text stk-block stk-be78c3f\" data-block-id=\"be78c3f\"><style>.stk-be78c3f .stk-block-text__text{font-size:16px !important;color:#000000d1 !important;}@media screen and (max-width: 1023px){.stk-be78c3f .stk-block-text__text{font-size:16px !important;}}<\/style><p class=\"stk-block-text__text has-text-color has-text-align-justify-mobile\">The consequences are usually not dramatic. They are practical:<\/p><\/div>\n\n\n\n<ul class=\"custom-list\">\n\n   <li>the buyer may request additional clarification<\/li>\n\n   <li>the deadline may be extended, and the company may become a more demanding supplier to work with than necessary<\/li>\n\n   <li>management and employees spend days reconstructing information instead of doing their actual work<\/li>\n\n   <li>answers from one reporting cycle may not be consistent with those from the next<\/li>\n\n<\/ul>\n\n\n\n<div class=\"wp-block-stackable-text stk-block-text stk-block stk-78773cd\" data-block-id=\"78773cd\"><style>.stk-78773cd {margin-bottom:nullpx !important;}.stk-78773cd .stk-block-text__text{font-size:16px !important;color:#000000d1 !important;}@media screen and (max-width: 1023px){.stk-78773cd .stk-block-text__text{font-size:16px !important;}}<\/style><p class=\"stk-block-text__text has-text-color has-text-align-justify-mobile\">None of these consequences looks like a penalty. Companies that respond calmly to this kind of request do not do anything differently on Friday. They do things differently in the months before Friday. In practice, this means several things that require neither a large budget nor new software. Appoint a responsible person for every material data point. One designated person for each material data point or group of related data points. Not an entire department. Record where the data comes from.<\/p><\/div>\n\n\n\n<div class=\"wp-block-stackable-text stk-block-text stk-block stk-9e6ad3e\" data-block-id=\"9e6ad3e\"><style>.stk-9e6ad3e {margin-bottom:nullpx !important;}.stk-9e6ad3e .stk-block-text__text{font-size:16px !important;color:#000000d1 !important;}@media screen and (max-width: 1023px){.stk-9e6ad3e .stk-block-text__text{font-size:16px !important;}}<\/style><p class=\"stk-block-text__text has-text-color has-text-align-justify-mobile\">The source, methodology and period should be documented when the data is generated, not only when someone requests it. Separate data entry from verification. No complex control is required. What is needed is for another person to check the data and for that verification to be recorded. Determine who approves external responses. The authority to confirm data and submit responses should be defined in advance, not on Sunday evening. Preserve the version that was submitted. What was communicated to the buyer, when and on what basis? Which information was used, and who approved the final response? The next questionnaire may ask the same question. The company should not have to start from scratch every time. None of these measures is dramatic. It can only reveal what has already been built. If the system exists, the answer can be retrieved from it. If it does not, the answer is reconstructed from memories, emails and spreadsheets. Both companies may submit the same answer on Monday morning. But only one of them can reproduce that same answer a year later, in the same way and with the same evidentiary basis. It is not enough to answer when someone asks. The problem is that the answer is still being created when someone asks for it. The questionnaire does not create the problem. It simply makes it visible. The response deadline may be three days.
